ATF RECORDS RETENTION SCHEDULES


A QUICK REFERENCE ON HOW LONG YOU SHOULD KEEP YOUR RECORDS

ADMINISTRATIVE MANAGEMENT RECORDS
This document contains disposition instructions for some of ATF's records. More comprehensive disposition schedules may be found in ATF 0 1345.1, ATF Records Management Program and Records Disposition Schedules, and the General Records Schedules.

 

Description of Records

Disposition Instructions

   

Accountable Officers' Files (Includes deposit ticket, statement of transactions, travel voucher,advance of funds application and account, public voucher for refunds, statement of
accountability, advertising order, reimbursement voucher, collection voucher, official
receipt, bill of collection, schedule of voucher deductions, public voucher for fees, etc.)

Destroy 6 years and 3 months after period covered by account

Backups of Files (Electronic)  
Files identical to records scheduled for transfer to the National Archives

Delete when the identical records have been captured in a subsequent backup file or when the identical records have been transferred to the National Archives and successfully copied

Files identical to records authorized for disposal in a NARA-approved records schedule

Delete when the identical records have been deleted, or when replaced by a subsequent backup file

Case Files  
Classification Appeals

Destroy 3 years after case is closed

Contract Appeals (Records Created After September 30, 1979)

Destroy 1 year after final action on decision

Personnel
 

EEO Complaint

Destroy 4 years after resolution of case

Incentive Awards

Destroy 2 years after approval or disapproval

Labor Management Relations

Destroy 5 years after expiration of agreement

Labor Arbitration

Destroy 5 years after final resolution of case

Procurement
 

Transactions dated on or after July 3, 1995 and exceed the simplified acquisition threshold and all construction contracts that exceed $2,000

Destroy 6 years and 3 months after final payment

Transactions at or below the simplified acquisition threshold and all construction
contracts at or below $2,000

Destroy 3 years after final payment

Real Property
 

Property acquired after December 31, 1920, other than abstract or certificate of title

Dispose 10 years after unconditional sale or release by the Government of conditions, restrictions, mortgages, or other liens

Abstract or certificate of title

Transfer to purchaser after unconditional sale or release

Electronic Mail Records (E-mail)

Delete from the e-mail system after copying to a recordkeeping system

Leave Application Files (OPM Form 71)

Destroy when 6 years old

Metered Mail Files

Destroy when 6 years old

Notifications of Personnel Actions (SF 50)

Destroy when 2 years old

Property Pass Files

Destroy 3 months after expiration or revocation

Supervisor's Personnel Files on Employees

Destroy file relating to an employee 1 year after separation or transfer

Time and Attendance Source Records (Includes time or sign-in sheets, flexitime records)

Destroy after GAO audit or when 6 years old, whichever is sooner

Transportation Subsidy Records

Destroy when 3 years old

Firearms Transaction Records

Destroy paper copy after microfilming

Forfeited Firearms Reports File

Destroy when 2 years old

Forms Case Files

Destroy 5 years after form becomes obsolete

Headquarters Initiated Criminal Files

Transfer to a Federal records center 5 years after investigation is closed. Destroy after close of fiscal year plus 20 years

Importation Records

Destroy when 5 years old

National Firearms Registration and Transfer
Records

Transfer original paper records to records center when microfilming is verified. Destroy when 75 years old

0I Work Papers Prepared in Audits

Destroy 2 years after report is issued

Press Releases (Paper)

Permanent. Microfilm at end of calendar year or as needed. Transfer paper records to the National Archives in 5- year blocks, 5 years after verification of microfilm

Report of Laboratory Examination

Destroy when 5 years old

Technical Determinations

Cut off annually. Destroy 20 years after cutoff

Undercover Identification Files

Destroy when 20 years old

ATF Program Records — Field

Agent Cashier Fund and Informant Contract Files

Destroy 5 years after close of investigation or reward payment

AUO Quarterly Certification Files

Destroy 3 years after close of FY in which the form is completed

Case Files (Investigative — Field Division)

Transfer to Federal records center 5 years after investigation is closed. Destroy after fiscal year of opening plus 20 years

Collateral Investigation Files

Destroy 3 years after close of investigation

Firearms and Explosives Licensee Master Lists

Destroy when 1 year old

Firearms License Records

Destroy when 50 years old

Informant Files (District Office)

These records are not authorized for transfer outside ATF. Destroy 10 years after the deactivation of the
confidential informant

Out-of-Business Firearms Licensee Records
(Microfilm Copy)

Destroy when 50 years old

Periodic Records and Reports

Destroy 2 years after close of fiscal year

Request for Tracing Firearms and Explosives

Destroy when 1 year old
