Circulation Services for UB Faculty and Staff
Circulation policies are designed to provide equal access to the library collections for all current University at Buffalo students, faculty and staff.
Library Borrowing Privileges
Library borrowing privileges are available to currently employed University at Buffalo faculty and staff. To receive in-person borrowing services from any University library, current faculty and staff must have a UB Card. Your UB Card also provides access to a wealth of electronic resources throughout the University library system, on campus or remotely from your office or home.
Library Cards
Your official UB Card serves as your library card. The card is non-transferable and you are responsible for all materials borrowed against it. Stolen or lost cards should be reported as soon as possible to the UB Card Office.
Change of Address
In order for the University Libraries to contact you, report changes of address using MyUB.
Loan Periods
The loan period for all library material designated as circulating can be 28 days (4 weeks) or 112 days (16 weeks). The actual loan period varies among libraries and is determined by library ownership (location), material type and the borrower status, i.e., UB students, faculty, staff, or alumni and guest. For a listing of loan periods by Library, refer to the General Loan Period chart . Periodicals may sometimes circulate briefly; ask for details at the circulation desk.
Due Dates
Due dates are subject to change if the book is recalled at the request of another reader. All books must be returned or renewed on or before the due date.
Renewing Materials
Non-reserve materials may be renewed an unlimited number of times unless requested by another reader by means of a hold or recall. Course reserve material may not be renewed. Renewals will occur automatically unless an item is recalled. Confirmation of your renewal will be sent via email to your preferred email account (as indicated in the UB Online Directory.)
Returning Materials
Most library materials may be returned to any University Libraries' Circulation Desk or the book drops located by the main entrances of some Libraries.The following items must be returned to the UB Libraries Circulation Desk from which they were borrowed:
- Audio-visual materials
- Periodicals
- Course reserve materials
- Interlibrary loan materials
- other "controlled" items.
Return Claims
A receipt is required to prove that library items have been returned. To ensure "proof of return," you must request a receipt when you return the materials.
Fines
As a courtesy, fines are not assessed to faculty and staff for the late return of materials.
Requesting a Recall
If the library item you need is checked out to another user, you may recall a book by requesting a Recall. Recall requests may not be placed on course reserve materials. Recall requests can be placed on materials by staff at any Circulation Desk or by going to My Library Card. See also the Requesting a Recall in BISON catalog help page.
Traces
All borrowers may initiate searches for material which cannot be located and has a status of "not checked out" in BISON - the University Libraries Catalog. To trace materials, complete the appropriate form at the Circulation Desk. If the item is found, you will be notified by Circulation staff. The process may take several weeks. Proxy Borrowers
UB faculty and staff members may appoint proxy agents to borrow materials from the University Libraries on their behalf. The proxy borrower's card is issued only upon written authorization of the faculty member. Although the proxy carries the card, the sponsoring faculty member is wholly responsible for all materials borrowed against the card. Requests for proxy cards can be made at any University Libraries' Circulation Desk. Refer to the Proxy Cards webpage for full details.
