PUNCTUATION FOR HEADING FIELDS IN BIBLIOGRAPHIC RECORDS

Field 100 (Main entry – Personal name) (NR)

  • Final: Ends with a mark of punctuation (period, question mark, etc.), a closing parenthesis, or a hyphen indicating an open date.
    • If the final subfields are |2, |3, |4, or |5, the mark of punctuation or closing parenthesis precedes those subfields.  Those subfields are not followed by a mark of punctuation.
    • The mark of punctuation is placed inside any closing quotation mark.

 

  • Internal:  The punctuation of the sub-elements of a heading is usually dictated by the descriptive cataloging rules, e.g., AACR2R. 
    • Subfield b (NR) (numeration) should be preceded by no punctuation.  This subfield is used only in forename headings, i.e., those with first indicator of 0.
    • Subfield c (R) (titles, etc.) should be preceded by a comma except
      • When it follows subfield d, in which case it should be preceded by no punctuation.  Rare occurrence.
      • When the content of subfield c is within parentheses it should be preceded by no punctuation.
    • Subfield d (NR) (dates) should be preceded by a comma.
    • Subfield e (R) (relator term) should be preceded by a comma unless
      • the preceding subfield ends in an open date or
      • the preceding subfield requires a final period, closing parenthesis, or other mark of ending punctuation.
    • Subfield j (R) (attribution qualifier) is used only in pre-AACR2 records. It should be preceded by a comma unless
      •  the preceding subfield ends in an open date or
      • the preceding subfield requires a final period, closing parenthesis, or other mark of ending punctuation.
    • Subfield q (NR) (fuller form of name) is preceded by no punctuation unless the final element of a preceding subfield ends in a period, e.g.  100 1     H. D. |q (Hilda Doolittle), |d 1886-1961.
    • If the final subfield is $4 (R) (Relator code)  the final mark of punctuation or closing parenthesis precedes this subfield.  This subfield is not followed by a mark of punctuation.

 

 

 

Field 110 (Main entry – Corporate name) (NR)

  • Final: Ends with a mark of punctuation (period, question mark, etc.), a closing parenthesis, or a hyphen indicating an open date.
    • If the final subfields are |2, |3, |4, or |5, the mark of punctuation or closing parenthesis precedes those subfields.  Those subfields are not followed by a mark of punctuation.
    • The mark of punctuation is placed inside a closing quotation mark.

 

  • Internal:  The punctuation of the sub-elements of a heading is usually dictated by the descriptive cataloging rules, e.g., AACR2R. 
    • The name portion of a name/subordinate body heading ends with a mark of punctuation.
    • Subfield b (R) (subordinate unit) should be preceded by a period.
    • Subfield c (NR) (location of meeting).  If |c follows subfields n or d it is preceded by blank colon blank; otherwise, it is preceded by a period unless the content of subfield c is in parentheses, in which case it is preceded by no punctuation.
    • Subfield d (R) (date of meeting or treaty signing).  If |d follows |n, it is preceded by blank colon blank; otherwise, it is preceded by a period unless the content of subfield d is in parentheses, in which case it is preceded by no punctuation.
    • Subfield e (R) (relator term) should be preceded by a comma.
    • Subfield g (NR) (misc. info.) should be preceded by a period.
    • Subfield n (R) (numbering) is used only in pre-AACR2 records.  It should be preceded by a period unless
      •  the preceding subfield ends in an open date or unless
      • the previous subfield is subfield m or t, in which case it should be preceded by a comma. 
      • However, if the content of |n is in parentheses, it is preceded by no punctuation.
    • If the final subfield is |4, (R) the final mark of punctuation or closing parenthesis precedes this subfield.  This subfield is not followed by a mark of punctuation.

Field 111 (Main entry – Conference name) (NR)

  • Final: Ends with a mark of punctuation (period, question mark, etc.), a closing parenthesis, or a hyphen indicating an open date.
    • If the final subfields are |2, |3, |4, or |5, the mark of punctuation or closing parenthesis precedes those subfields.  Those subfields are not followed by a mark of punctuation.
    • The mark of punctuation is placed inside a closing quotation mark.
  • Internal:  The punctuation of the sub-elements of a heading is usually dictated by the descriptive cataloging rules, e.g., AACR2R. 
    • The name portion of a name/subordinate body heading ends with a mark of punctuation. The mark of punctuation is placed inside a closing quotation mark.
    • Subfields
      • Subfield q (NR) (Name of meeting following jurisdiction name entry element) should be preceded by a period.
      • Subfield c (NR) (location of meeting). 
        • If |c follows subfields n or d it is preceded by blank colon blank;
        • otherwise, it is preceded by a period unless
          •  the content of subfield c is in parentheses, in which case it is preceded by no punctuation.
      • Subfield d (NR) (date of meeting or treaty signing). 
        • If |d follows |n, it is preceded by blank colon blank;
        • otherwise, it is preceded by a period
        • unless the content of subfield d is in parentheses, in which case it is preceded by no punctuation.
      • Subfield e (R) (subordinate unit) should be preceded by a period.

Field 130 (Main entry – Uniform title) (NR)

  • Final: Ends with a mark of punctuation (period, question mark, etc.), a closing parenthesis, or a hyphen indicating an open date.
    • If the final subfields are |2, |3, |4, or |5, the mark of punctuation or closing parenthesis precedes those subfields.  Those subfields are not followed by a mark of punctuation.
    • The mark of punctuation is placed inside a closing quotation mark.
  • Internal:  The punctuation of the sub-elements of a heading is usually dictated by the descriptive cataloging rules, e.g., AACR2R. 
    • Subfield d (R) (Date of treaty signing) is given in parentheses and preceded by no mark of punctuation.  However,
      • If, in a pre-AACR2 record it follows |k Protocols, etc.,  it is preceded by a comma, e.g.

130 0#            $a Convention for the Protection of Human Rights and Fundamental Freedoms $d (1950).$k Protocols, etc., $d 1963 Sept. 16.

    • Subfield f (NR) (date of a work).   When used, it is preceded by a period.
    • Subfield g (NR) (Misc. info.) should be preceded by a period.
    • Subfield h (NR) (Medium). Preceded by a period.

e.g., 130 0   Gone with the wind (Motion picture). |h Sound recording.

    • Subfield k (R) (Form subheading) This subfield is used only in pre-AACR2 headings.  When used, it should be preceded by a period even if the preceding subfield ends in a closing parenthesis.
    • Subfield l (NR) (Language of a work). It should be preceded by a period unless the preceding subfield ends in another mark of punctuation.
    • Subfield m (R) (Medium of performance for music) is preceded by a comma.
    • Subfield n (R) (Number of part of a work).  It should be preceded by a period unless
      • the preceding subfield ends in an open date or unless
      • the previous subfield is |m or |t, in which case it should be preceded by a comma.
      • However, if the content of |n starts with a left parenthesis it is preceded by no punctuation.
    • Subfield o (NR) (Arranged statement for music) is preceded by a semi-colon.
    • Subfield p (R) (Name of part of a work). It should be preceded by a period unless
      • the preceding subfield ends in an open date or unless
      • the previous subfield is |m, |n, |p, or |t, in which cases it should be preceded by a comma.
      • However, if the content of |n starts with a left parenthesis it is preceded by no punctuation.
    • Subfield r (NR) (Key for music). Preceded by a comma. 
    • Subfield s (NR) (Version). Preceded by a period.
    • If the final subfields are |6 (NR) or |8 (R), the final mark of punctuation or closing parenthesis precedes those subfields.  Those subfields are not followed by a mark of punctuation

 

 


Field 245 (Title and Statement of Responsibility) (NR)

The 245 field used as a heading in indexes consists of the subfields $a and $b.  In the BISON record display, the entire 245 field ($a, $b, and $c) is displayed.

·        Final: The entire 245 field ends with a period, even when another mark of punctuation is present,

o       unless the last word in the field is an abbreviation, initial/letter, or data that ends with a period, e.g.

·        245 00   Rubber world |h [microform].                                      245 10   Hearne Brothers official … map of … / |c G. Lee Graham [et al.].                                                                        245 10  Cosmic search.                                                           245 10  Annual report for the year ,,,

·        Comments: The 245 headings in the BISON OPAC index displays end either with a blank (the majority) or a period but I have not been able to determine what is the basis for the distinction.  Cf. the OPAC displays for the following titles:

1.      History and biography : an inaugural lecture.  |a and |b; the latter is followed by blank slash blank and subfield c in the record itself.

2.      History and biography : essays in honour of Derek Beales    |a and |b,  the latter is followed by blank slash blank and subfield c in the record itself.

3.      History and biography in ancient thought.  |a,  followed by blank slash blank and subfield c in the record itself.

4.      History and biography in the work of Erasmus of Rotterdam. |a, followed by a period and then by subfield c in the record itself.

 

Headings 1 and 2 are alike in structure in record but the first ends with a period in the index heading and the second does not.

Heading 3 has the ISBD punctuation of  / |c  but ends with a period in the index heading.

Heading 4 has a period at the end of subfield a and before subfield c; the period displays in the index heading

 

 

·        Internal

o       Subfield b (NR) (remainder of title) is preceded by

·        blank colon blank or blank semi-colon blank in  records created according to ISBD principles;

·        in pre-AACR2 records it may be preceded by any mark of punctuation (e.g., comma, semi-colon, period, exclamation mark, question mark) or none.

o       Subfield f (NR) (inclusive dates).  Preceded by a comma.

o       Subfield g (NR) (bulk dates).  Preceded by a blank space.

o       Subfield h (NR) (medium). In records formulated according to ISBD principles, the medium designator appears in lowercase letters and is enclosed within brackets.  It follows the title proper (subfields $a, $n, $p) and precedes the remainder of the title ($b) or statement of responsibility ($c) if there is no subfield $b.  It is preceded by a blank space.

o       Subfield k (R) (form) It follows the subfield $b (or subfield $a in records lacking a subfield $b) and may be preceded by either a blank or a blank followed by a colon ( :)

o       Subfield n (R) (Number of part/section of work).

·        In records formulated according to ISBD principles, subfield $n data follows a period (.). 

·        Multiple alternative numberings for a part/section are contained in a single subfield $n.

·        Subfield $n is repeated only when it follows subfield $a, $b, $n, or $p.

o       Subfield p (R) (Name of part/section of work)

·        In records formulated according to ISBD principles, subfield $p data follows a period (.) when it is preceded by subfield $a or another subfield $p. 

·        Subfield $p follows a comma (,) when it follows subfield $n. 

·        Subfield $p is repeated only when it follows subfield $a, $b, $n, or $p.

o       Subfield s (NR) (version) is preceded by a period or other mark of punctuation.

o       Subfield c (NR) (statement of responsibility) is preceded by blank in records based on ISBD (AACR and AACR2) but may be preceded by period or other mark of punctuation in pre-AACR records.

o       If record lacks a subfield c the final preceding subfield ends in a period or other mark of punctuation.

 

 

 


Field 246 (Varying form of title) (R)

·        Final.  Does not end with a mark of final punctuation unless the last word in the field is an abbreviation, initial/letter, or data that ends with a mark of punctuation.

·        Internal. 

o       Subfield b: Same as 245

o       Subfield f (NR) Date or sequential designation. It is not used when second indicator position contains 0 or 1. 

·        No punctuation precedes subfield ‡f unless the item preceding subfield ‡f is an abbreviation, initial/letter, or data that ends with a mark of punctuation.

o       Subfield h: Same as 245

o       Subfield n: Same as 245

o       Subfield p: Same as 245

o       Subfield g (NR) (Miscellaneous info)

o       Subfield i (NR) (Display text) Only used when second indicator contains a value of blank.  This subfield precedes $a at the beginning of the field and it is followed by a colon.

o       Subfield 5 (NR) (Institution to which field applies) is preceded by semi-colon. It does not end with any mark of punctuation.

 

 

Field 247  (Former title or title variations)  (R)

  • Final. Does not end with a mark of punctuation unless the last word in the field is an abbreviation, initial/letter, or data that ends with a mark of punctuation.
  • Internal.  Same as 245 field, except:
    • Subfield f (NR) (Date or sequential designation). No punctuation precedes subfield ‡f unless the item preceding subfield ‡f is an abbreviation, initial/letter, or data that ends with a mark of punctuation.

 

Field 400 (Series statement/Added Entry – Personal name (Pre-AACR2))

            Note: This field became a local US one in 1999 with the harmonization of USMARC with CANMARC where it is obsolete.  It is obsolete in OCLC and should be changed to a combination 490 and 8XX field.

 

  • Final.  Does not end with a mark of punctuation unless the last word in the field is an abbreviation, initial/letter, or data that ends with a mark of punctuation.
  • Internal.   The punctuation of the sub-elements of a heading is usually dictated by the descriptive cataloging rules, e.g., ALA (1949) or AACR.
    • The name portion of a name/title heading ends with a mark of punctuation.  The mark of punctuation is placed inside any closing quotation mark.
    • Subfields b, c, d, e, and f – Follow guidelines for Field 100.
    • $f         Date of a work (NR) Preceded by a period.
    • $g        Miscellaneous information (NR) Preceded by a period.
    • $k        Form subheading (R) Examples show it preceded by either a comma or a period.
    • $l         Language of a work (NR) Preceded by a period.
    • $n        Number of part/section of a work (R) It should be preceded by a period unless

    • $n        Number of part/section of a work (R) should be preceded by a period.
    • $p        Name of part/section of a work (R) should be preceded by a period.
    • $v        Volume/sequential designation (NR) should be preceded by a semi-colon.
    • $x        International Standard Serial Number (NR) is preceded by a comma unless the preceding subfield ends in an abbreviation requiring a final period or ends in a closing parenthesis.
    • $6        Linkage (NR) is not used at UB.
    • $8        Field link and sequence number (R) is not used at UB.

 

Field 600 (Subject Added Entry – Personal Name) (R)

·        Final: Ends with a period unless the final element in the heading is a closing parenthesis, an open date, or other mark of ending punctuation

o       A main term portion followed by a subject subdivision ($v, $x, $y or $z) does not end with a mark of punctuation unless the main term portion of the heading ends with an abbreviation, initial/letter, or open date.
