UB Libraries Catalog Access to Products in the
Online Resources Region

The examples presented below describe the current or proposed
access from the UB Libraries Catalog to products which are also accessible
through the UB Libraries Online Resources region. A review of these
examples will occur between now and Jan. 7, 1999. Staff who create and
maintain catalog and holdings records for electronic products which are accessible through the Online Resources
region and those staff who use the records or assist patrons in the use
of the records are encouraged to read and provide input about the
examples. When reviewing the examples in this document it will be
necessary to consult corresponding records in the UB Libraries Catalog
and entries on the Online Resources region. Please send input to John Edens by Jan. 7, 1999
Bibliographic records for all products which will be accessible
through the Online Resources region are added to the catalog at the time
the product is ordered. When the product is added to the Online Resources
region the status of the catalog record is changed from "on
order"
to "received," an 856 field containing the URL for the product is added to
the record, and a copy statement is activated.
It is the intent of this document to use examples to explain the
following:
- under what circumstances an online product can be added to a
record which is already in the catalog
- under what circumstances a new record is required
- how added entries are used to link print and online equivalents when
both versions do not have the same title
- options for choice of URLs in catalog records
- the need to qualify some URLs in order to alert the user that the URL
leads to a consolidated site, not to a single title
- how the access through the catalog must serve the needs of two
different groups of users
- the user of the web-based catalog who can click on the URL to get to
the product
- the user of the original command version of the catalog who must know
the product name or database in order to access the product via the Online
Resources region
Examples
- Type of product: Citation index with CD-ROM equivalent
- Example: ABI/Inform
- Catalog record: Because of file characteristics and system
requirements for the CD-ROM version, the online and CD-ROM versions cannot
be on the same record. Record for the online version describes access via
Ovid. Contains 538 Mode of access : Internet note and an 856 field with
URL.
- Added entry: If product is purchased from ULELECT fund, put ULELECT in

Type of product: Citation index without link to list of titles
indexed by the product.
- Example: Business index ASAP
- Catalog record: Record describes electronic product. The record
contains the 538 Mode of access: Internet note and two 856 fields. One
856 field links to the opening screen for Infotrac SearchBank, and one
links to the current list of titles index by Business index ASAP.
- Added entry: If product is purchased from ULELECT fund, put ULELECT in

- Comments: The linked list of titles indexed by the product also
identifies those titles for which full text of selected articles is
available. It is possible to search the list for specific titles.

Type of product: Citation index for which there is a print equivalent
with the same title
- Example: Biography index
- Catalog record: Since the title of the electronic version is the same
as that for the print, a single record provides access to both. The record
contains 538 Mode of access : Internet note and an 856 containing the URL.

- Comments: The record now contains two URLs: 1) directly to Wilson Web
and 2) to Wilson Web via a local information record. Both approaches
require the user to select Biography index from a menu on the
Wilson Web opening screen.

Type of product: Citation index with CD-ROM equivalent having the
same title and one or more print equivalents with different titles
- Example: GeoRef
- Catalog record: Because of file characteristics and system
requirements for the CD-ROM version, the online and CD-ROM versions cannot
be on the same catalog record. The record contains
the note "Corresponds to the print publications: Bibliography of North
American geology (including its earlier titles); Bibliography and
index of geology exclusive of North America; Geophysical
abstracts (Washington, D.C.), and: Bibliography and index of
geology; with additional citations from other sources. At present
there are linking entries for these titles, not title added entries. The
record contains the 538 Mode of access Internet note and an 856 containing
the URL.

Type of product: Citation index with print equivalent but with a
title different from that of print equivalent (s)
- Example: FactSearch
- Catalog record: Record describes title as electronic equivalent of
print publication A matter of fact : a digest of current facts, with
citations to sources. There is an added entry for the title of the
print publication. The record contains the 538 Mode of access : Internet
note and an 856 with the URL.
- Added entry: If product is purchased from ULELECT fund, put ULELECT in

- Call number substitute: No call number. Class code of "u"
- Holdings: (MHLD):Beginning date of coverage. For this product it is
1984-
- Comments: Since the title of the electronic version is not the same as
the print version, access cannot be provided from the record for the print
equivalent. The record now contains two URLs: 1) OCLC FirstSearch page
and 2) local information page for FactSearch. Both approaches
require user to select "all databases" and then FactSearch. Direct
access is not possible. Note: it appears that it is impossible to maintain
a link to FirstSearch. Links expire after one day. The first-mentioned
link has been removed. Currently there
is only a gl record, although the print equivalent is also held in hl.

Type of product: Citation index with CD-ROM and print equivalents.
Titles of print equivalents differ from that of the Internet and CD-ROM
versions
- Example: ERIC
- Catalog record: Record describes Internet version only. Note
indicates that product corresponds to two printed publications:
Resources in education (RIE), and: Current index to journals in
education (CIJE). There are added entries for both of the print
titles. Record includes 538 Mode of access : Internet note and an 856
with the URL.

- Comments: Since the title of electronic versions is not the same as
the two print equivalents, access cannot be provided from the record for
the print equivalent. Nor can access be provided from the record for the
CD-ROM since that record includes description and systems requirements
unique to the CD-ROM version. The record now contains three URLs: 1) OCLC
FirstSearch page and 2) local information page for ERIC, 3) Direct
access via Ovid. Note: it appears that it is impossible to maintain
a link to FirstSearch. Links expire after one day. The first-mentioned
link has been removed. Although the title is also available via Hubnet, the URL
for the Hubnet introductory page is not included.

work for which there is a print equivalent with the same title
- Example: Biography and genealogy master index
- Catalog record: Since the title of the electronic version is the same
as that for the print, a single record provides access to both. The
record contains 538 Mode of access : Internet note and an 856 containing
the URL.
- Added entry: If product is purchased from ULELECT fund, put ULELECT in

print equivalent
- Example: Britannica online
- Catalog record: Catalog record describes the electronic version and
indicates that it includes articles not yet in the print Britannica;
Merriam-Webster's collegiate dictionary, and: the Britannica
book of the year. There are added entries for these two publications
and for The New Encyclopaedia Britannica.
- Added entry: If product is purchased from ULELECT fund, put ULELECT in

work which exists only as an electronic product and provides access to one
or more directories or bibliographies also or formerly available in print
format
- Example: Associations unlimited
- Catalog record: Record describes the electronic product. Includes the
538 Mode of access : Internet field and an 856 with the URL. Indicates
that the product consists of three files corresponding to: vol. 1 of
Encyclopedia of associations, Encyclopedia of associations.
International organizations; and: Encyclopedia of associations.
Regional, state, and local organizations. There is an added entry for
the Encyclopedia of associations.
- Added entry: If product is purchased from ULELECT fund, put ULELECT in

work which exists only as an electronic product and provides access to one
or more directories or bibliographies also or formerly available in print
format
- Example: Gale database of publications & broadcast media
- Catalog record : Describes the electronic product. A note indicates
that the product is a database compiled from the following print
publications Gale directory of publications and broadcast media,
Newsletters in print, and Directories in print. There are
added entries for these titles. Record contains 538 Mode of access :
Internet field and an 856 containing the URL.

three print publications, access is also provided from the records for
those three titles. In those three records the URL is preceded with the
note "In Gale Database of Publications and Broadcast Media," and the same
information is used as the call number substitute in the copy holdings
statement (with a class code of "t." In all records the URL takes the
user directly to the product, not to the local information record.

Type of product: Specialized database which supersedes one or more
print equivalents or has no print equivalents
- Example: ArchivesUSA
- Catalog record : Record describes the electronic publication. Includes
a note that product supersedes the
Directory of Archives and Manuscript Repositories in the United States
(DAMRUS) last published in 1988, collection records from the
National Union Catalogue of Manuscript Collections (NUCMC), and
records from the major microfiche series, National Inventory of
Documentary Sources in the United States (NIDS). There are added
entries for all three of these publications. Record contains 538 Mode of
access : Internet field and 856 with the URL.
