DERIVING MICROFICHE DOCUMENTS FROM MARCIVE


TO DERIVE:

  1. Documents are derived from MARCIVE (ltgp) only after it has been determined through SuDoc and title searches that the item does not exist in BISON.

  2. Clear the BISON screen and enter:

  3. Verify title, author, publisher, etc. to be sure this is actually the record you wish to derive into BISON.

  4. Go to BIBL screen - [F6] key

  5. Press the [clear] key once.

  6. Change "ltgl" to "ltgp".

  7. Cursor to the end of the bibl number , insert a space and type "g"

    ex. ltgp bibl hbc0114 --- becomes --- ltgl bibl hbc0114 gp

  8. Press [enter] ONCE.

  9. Type "deri"

  10. Press [enter] until "hldg created" appears.

    *There may be validation errors. See Brenda if you encounter any of these.

BISON COPY LEVEL STATEMENTS / MARC HOLDINGS / ETC.

  1. Go to the copy holding screen - [F5] key

  2. Change status to "h".

  3. Change the copy level status to "1S" for monographs and "2S" for serials and periodicals.

  4. Complete the appropriate copy level statement:

    See Sudocs Classification for more information on the proper construction of SuDocs numbers in copy holdings.

  5. For serials and periodicals:
    Create a MARC holdings record for serials and periodicals.
    From the HLDG screen, type "chld".

    **DO NOT create MARC holdings for monographs unless there are multiple parts.

  6. Follow procedures for adding serials and periodicals.
    (see "Guide to MARC Holdings (MHLD) for Serials")

  7. Add initials to copy level note field ONLY if you've created MARC holdings. Otherwise, leave blank.

"CLEAN UP" THE BIBLIOGRAPHIC RECORD IN BISON

  1. Check the following for all records imported into the catalog, regardless of whether they are monographs, serials or periodicals.

    1. Double check the accuracy of the author (100), title (245), publisher (260) and added entry (700's) fields. Check for typos's, spelling errors, etc.

    2. Add OCM to the 035 field. The proper format should be 035:: |a (OCoLC)ocm00152163
      where 00152163 is the OCLC accession number.

    3. Check the subject heading fields (650). If there is not at least one subject heading, add the following field to the record
      730:: |aDOCORIG

    4. Check the 440 and 830 fields to determine is a series title exists. If so, do a title search on the series title as it appears in the 440 or 830 fields. Check to see that the title you derived clusters properly under the established form of the series title. If not, give to Brenda.

    5. Search on the main (100's) and added (700's) entries to verify established heading forms.

  2. Add to document statistics as "Titles Cataloged (all formats)" in the periodical, serial or monograph columns.
