The LML and SEL drawers.
These drawers contain serials that are already in BISON (we assume), and
are arranged by SuDoc number. You simply need to update the holdings for
each title. Remember, there may be multiple issues for a given title.
After you update the holdings, stamp the envelope(s) with the BISON
Stamp in the upper right corner.
LML documents will go into the LML US - READY bin.
SEL documents will go into the SEL US - READY bin.
You'll find both bins in the work area near Kim and Darlene
A title in the fiche cabinet may be a new serial title that is not yet in BISON. In this case:
- First, search the for the item by title in BISON.
If you cannot find the title, search MARCIVE & OCLC.
Derive or Export the title. (See "Deriving
Microfiche Documents from Marcive" or "Exporting from OCLC.")
Create and update the MARC Holdings as needed.
- If you don't find an appropriate record in either of the bibliographic utilities, file the fiche by check-in date under NEW SERIALS REC'D in the appropriate drawer (LML or SEL.) It will be processed when new monographs are cataloged.
- It is possible that a title resembling a serial is actually a
monograph. Just Derive or Export the monograph record as you would any
other monograph. If you cannot find an acceptable record, file it by date
in the MONO's REC'D drawer.
- When you have successfully updated marc holdings, or added new serial title
records to the catalog,
- Stamp each envelope with BISON.
- Put LML documents into the LML US - READY bin.
- Put SEL documents into the SEL US - READY bin.

These drawers are arranged by month received. You should be searching for
new monographs checked in at least a full three months before. In
other words, search the January monographs in May, February in June, March in
July, etc. It's helpful to have these in alphabetical order by SuDoc number
before you start. Similar documents tend to be entered into MARCIVE/OCLC at
roughly the same time.
- First, search for the item by title in BISON. A paper copy
may have been added since the fiche was received. If this is the case,
add the fiche copy to the paper record.
- If the document is not in BISON, search for it in MARCIVE.
MARCIVE almost always puts the SuDoc number in the hldgs screen so
you can search by SuDoc.
- ex: ltgp fi cs=A 13.88:167
Try searching by title if that doesn't work. (ltgp fi jt)
When you find a record in MARCIVE, you will need to derive it into
BISON. (see "Deriving Microfiche Documents from
Marcive".)
- If the document is not in MARCIVE search OCLC. (see "Exporting Documents
from OCLC" for more information.)
- If you can't find an acceptable record in either MARCIVE or OCLC, create a
brief record in BISON. [See Brenda for instructions.]
- When you have completed the catalog work for each monograph,
stamp it with the BISON stamp and release it to the appropriate unit (LML
or SEL.)
The EPA and NASA Tech Report drawers.
Search for these documents in the same manner that you search
for regular monographs. As with SuDoc mono's, search every document at least a full three full months after it was checked-in. Again, you will search BISON then MARCIVE then OCLC.
These Tech Report fiche are treated very much like regular monographs. They are derived/exported from MARCIVE/OCLC with the BISON catalog cleanup procedures being exactly the same as other mono's. However, they are classified by their technical report numbers rather than by SuDoc classification. The copy holdings and marc holdings screens look different (see "Marc Holdings for the NASA Series") and you will need to change the fiche header by circling or adding an appropriate report number. (This is very important since it tells the staff at SEL where to shelve these titles.) See Brenda for examples.
At this time, only SEL is classifying selected fiche titles by technical report number. Thus, when you have completed the catalog work for technical reports, stamp them with BISON and place them in the SEL US - READY bin.
