Processing of Monographic Added Copies
May 1995
Revised November 1995

  1. Add to an existing record under the following conditions

    1. The item is identical
      (1) same title
      (2) same subtitle
      (3) same edition, unless paperback ed. issued by the same publisher*
      (4) same series
      (5) same publisher and place of publication
      (6) same date, unless paperback ed. issued by the same publisher
      (7) same pagination

      * Special note on paperback eds.: when issued by the same publisher and the cloth and paperback editions contain the same number of pages, are the same size except for a variation of two or fewer centimeters, and have the same copyright date, then add to the existing record even if publication date is not the same.

    2. The item is identical as above in l.a. except for any of the following conditions

      (1) issued by a paperback division
      (2) except for a variation in size of two or fewer centimeters
      (3) except for a variation in pagination of 15 pages or fewer
      (4) except that it is a photoduplication
      (5) the name of a different publisher appears on the spine or
dust jacket but not on the title page or verso
      (6) there is a distributor's label affixed to the title page, verso, cover, or binding
      (7) has a different ISBN (add the second ISBN to the existing record in a second subfield a or in a second 020 field)
      (8) is a different printing

    Note on different printing:

Different printing is understood to mean a later printing (not a reprint edition by a different publisher) of an item which is otherwise identical. Different printing is also understood to include a printing with added or corrected information but without a new or additional copyright date. Treat as a printing date a date which appears on the title page and is repeated as a printing date on the verso. Add to the existing record and use as the date in the call number the same date already being used for other copy(ies) on the same record.

  2. Create a new record when any of the following conditions exist

    1. difference in title or subtitle

    2. different edition (2nd, revised, corrected, lst American)

    3. different date of publication (a different printing date is not a different date of publication) unless different date is for a paperback edition and the cloth and paper are issued by the same publisher and contain the same number of pages, are the same size except for a variation of two or fewer centime ters, and have the same copyright date but not necessarily the same publication date.

    4. is a reprint edition issued by a publisher different from the original

    5. has a difference in pagination of more than 15 pages

    6. different series

    7. different publisher and/or place of publication

      (1) different publisher includes a publisher's mass paperback division

      (2) different publisher includes, for example, Oxford University
Press (Oxford, Eng.) and Oxford University Press (New York)
if the two items list only one of these

      (3) a change in location of a publisher does not represent a
different publisher or place of publication

      (4) a publisher/distributor mentioned on the spine or dust
jacket but not on the title page or verso shall be ignored
unless the work is issued in parts and subsequent volumes
could indicate the publisher/distributor on the title page or verso

  3. Microforms

    1. Add to an existing record only if the microform is not part of a microform set or is not a title for which the master negative is held by this library. UB dissertations in microform should be added to the same record as the original hard copy edition.

    2. Create a new record if the microform is part of a microform collection, irrespective of whether titles in the collection are given a common call number. Create a new record if this library produced the microform and therefore holds the master negative.
