WITHDRAWAL OF COPIES
Copies should be marked as withdrawn only when the piece
to be withdrawn is in hand and is being physically removed
from the collection. The withdrawal of the last copy under
the control of a processing unit should result in the record
not being accessible in the OPAC. Since the bibliographic
record should still be accessible in its entirety in staff
mode, it should not be marked for full deletion. Do not
confuse these procedures with those for marking a
bibliographic record for full deletion or with those for
transferring copies between processing units.
Withdrawing a copy which-is NOT the last copy under the
control of a processing unit
- If in the copy holdings statement of the copy which is
being withdrawn there is an order linkage preceded by an
alpha code other than X or Z, do not continue to process
the withdrawal. Check with staff responsible for
maintaining order records to determine the status of the
order which is linked to the copy holdings record. If
the status of the order permits, continue to process the
withdrawal.
- If there is a volume holdings record associated with the
copy which is being withdrawn, erase all statements in
the record.
- If there are any item records associated with the copy
which is-being withdrawn, change the Status Code in the
item record(s) from a to w.
- Change the Copy Status Code in the copy holdings record
to 0 for single volume works and to 2 for multi-volume
works. Change the Classification Type Code to Z.
- Preserve in the copy holdings statement the correct
Location Code and call number for the copy being
withdrawn. Delete any subfield v from the copy
holdings statement.
- Create a copy level note containing the following:
WD:(operator's initials, month/year)
- Do not change the Cataloging Status Code in the copy
holdings record or the D/S fixed field in the
bibliographic record.
- Stamp the book with the "WITHDRAWAL" stamp on the front and back
inside covers.
- Statistics: count the number of volumes withdrawn and add the
number under the "VOLS WITHDRAWN" column for that unit.
Withdrawing a copy which is the last copy under the
control of a Processing unit
- If in the copy holdings statement of the copy which is
being withdrawn there is an order linkage preceded by an

the status of the order permits, continue to process the

- Delete OCLC holdings ONLY if it is the last copy in the library
system. If title is also held by Poetry or Music, DO NOT delete
holdings on OCLC.
- Stamp the book with the "WITHDRAWAL" stamp on the front and back
inside covers.
- Statistics: count the number of volumes withdrawn and add the
number under the "VOLS WITHDRAWN" column for that unit.
