FULL DELETION OF BISON BIBLIOGRAPHIC RECORDS
(Prior to implementation of Circulation)
A bibliographic record should be marked for full deletion only if it
duplicates another record which is under the control of the same
processing unit and has no linkage to an order record. Do not confuse
the following procedures with those for suppressing a record from public
view, marking item records as withdrawn, and deactivating volume holdings
and copy holdings statements when the bibliographic record is not to be
deleted fully.
Bibliographic records which are being marked for full deletion can
either have no linked item records or can have item records which have
been relinked to another bibliographic record.
A duplicate Bibliographic record which has never had any
linked item records
- Erase any volume holdings statements. Mark MHLD for deletion:
stat=d.
- Erase any copy holdings statements by pressing ERASE EOF
while the cursor is positioned over the Copy Status code.
The complete content of the copy holdings statement will
be erased, and the Copy Status code will change to 0 (2
for multi-volume works) and the classification type code
to A.
- Change the Cataloging Status Code in the copy holdings record
from h to a lowercase x.
- Create a title level note in the copy holdings record
containing the following:
Dup of (BISON record number
which the record being deleted duplicates) DO NOT USE
(operator's initials, month/year).
- Change the D/S fixed field of the bibliographic record from D
to an uppercase S.
A bibliographic record with linked item records which have
been relinked to a different bibliographic record
- Relink the item records to another bibliographic record and
decrement the item number count.
- Erase any volume holdings statements.
- In the copy holding statement(s) change the Copy Status Code
to 0 for single volume works and 2 for multi-volume
works.
Change the classification type code to Z.
- Change the location code to (processing unit code),del:
gl,del hl,del ll,del pl,del ml,del al,del
- Erase the call number or call number substitute and any
subfield v.
- Change the Title Status Code in the copy holdings record from
h to a lower case x.
- Create a title level note in the copy holdings record
containing the following:
Dup of (BISON record number) DO
NOT USE (operator's initials, month/year).
- Change the D/S fixed field of the bibliographic record from D
to an uppercase S.
